The Professional Learning Services Coordinator - Council Support provides direct administrative support to the Learning and Development Director, while providing support to other program leaders. The individual in this role assists with administrative duties that support the committees and councils led by Professional Learning Services, and ensures operations are efficient and organized to facilitate the success of the Professional Learning Services program.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Attends meetings and takes detailed minutes for assigned Professional Learning Services-led committees, councils, events, workshops, trainings, and team meetings.
- Supports assigned committees, councils, and events by scheduling meetings, securing meeting locations, and providing other logistical support
- Prepares and distributes meeting agendas and supporting materials
- Follows-up with staff and members on action items and decisions
- Provides administrative support to committee chairs, council presidents and members as needed
- Coordinates travel and reimbursements for council and committee members
- Occasional travel, including overnight stays, is required to support meetings and events.
- Maintains accurate and up-to-date records of department events and activities.
- Ensures that all Professional Learning Services activities are conducted in accordance with ACSA’s established policies and procedures.
- Updates ACSA’s website with department information as needed.
- Supports ACSA’s partnership with National Affiliates.
- Maintains current knowledge of programs offered by the Professional Learning Services Department and works with members and staff to provide program and department information.
- Performs other duties as assigned by the Learning and Development Director and/or the Senior Director, Professional Learning Services, or other designated supervisor.
- Sitting/standing while working at a computer workstation for extended periods
- Occasional travel (<5%) to attend a department conference, council/committee meetings, learning event or workshop within California, including overnight and multi-day events
- Workweek will include Friday evenings and/or Saturdays to support learning programs depending on program schedule (as needed)
Knowledge:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Proficiency in cloud-based collaboration applications/tools (i.e... Asana, Teams, etc.)
- Strong written and verbal communication skills
- Excellent organizational and time management skills
- Attention to detail and a commitment to accuracy and quality in all work products
- Effectively coordinate and prioritize multiple projects as assigned
- Strong project management skills, including the ability to manage multiple projects simultaneously, assimilate feedback from multiple stakeholders, and adhere to tight deadlines.

EXPERIENCE, TRAINING AND EDUCATION

Experience:
Minimum of two years of administrative support experience, preferably in an association or non-profit setting. Familiarity with association governance and decision-making processes is a plus.
Training/Education:
High school diploma or equivalent. Some college coursework preferred.

Pay for the position ranges from $25.19 to $28.46 hourly based on a 37.5-hour workweek.
